Office Space Cost per Employee Calculator
This planning tool divides annual rent and selected operating costs by headcount and floor area. It can support comparisons between workspace scenarios when cost and occupancy boundaries remain consistent.
How to use this calculator
- Use annualized costs for the same site and an explicit headcount/area definition.
- Check that the input values use the same units and reporting period before comparing scenarios.
- Change one assumption at a time to see which input drives the result.
Formula and method
Cost per employee = (annual rent + selected operating costs) / employee count.
- 60,000 ÷ 24 = 2,500 per employee annually.
- This excludes any costs not entered, and headcount may differ from daily occupancy or full-time equivalent staff. Lease incentives and shared sites may require separate treatment.
Worked examples
Worked example
Annual rent is 48,000 and other included annual costs are 12,000 for 24 employees over 360 m².
60,000 ÷ 24 = 2,500 per employee annually.
The estimated annual workplace cost is 2,500 per employee under these assumptions.
Understanding the result
The estimated annual workplace cost is 2,500 per employee under these assumptions.
This excludes any costs not entered, and headcount may differ from daily occupancy or full-time equivalent staff. Lease incentives and shared sites may require separate treatment.
Important notes
Use annualized costs for the same site and an explicit headcount/area definition.
The displayed result uses the entered assumptions; validate important estimates against source measurements, specifications or qualified guidance.
Frequently asked questions
Should I use peak headcount?
Use average or peak headcount depending on the decision; state the basis when comparing results.
Is cost per employee a measure of office productivity?
No. It is a space cost allocation metric, not an output or performance metric.
