Event Break-Even Attendance Calculator
This event planner estimates the number of paid attendees needed to cover fixed costs after each attendee’s variable cost. It helps test ticket and capacity scenarios before budgets are finalized.
How to use this calculator
- Use ticket revenue net of refunds and relevant taxes, and do not count fixed costs again in the variable cost.
- Check that the input values use the same units and reporting period before comparing scenarios.
- Change one assumption at a time to see which input drives the result.
Formula and method
Contribution per attendee = net ticket revenue − variable cost; break-even attendance = ceiling(fixed costs / contribution per attendee).
- Contribution is 37; 6,500 ÷ 37 rounds up to 176 attendees.
- The result assumes each attendee generates the same net revenue and variable cost. It excludes sponsorships, donations, taxes and unsold-ticket effects unless represented in the inputs.
Worked examples
Worked example
Fixed event costs are 6,500; net ticket revenue is 55 per attendee and variable cost is 18.
Contribution is 37; 6,500 ÷ 37 rounds up to 176 attendees.
At least 176 paid attendees are needed to cover the entered costs.
Understanding the result
At least 176 paid attendees are needed to cover the entered costs.
The result assumes each attendee generates the same net revenue and variable cost. It excludes sponsorships, donations, taxes and unsold-ticket effects unless represented in the inputs.
Important notes
Use ticket revenue net of refunds and relevant taxes, and do not count fixed costs again in the variable cost.
The displayed result uses the entered assumptions; validate important estimates against source measurements, specifications or qualified guidance.
Frequently asked questions
What if ticket revenue is below variable cost?
Then each extra attendee increases the modeled loss, so a finite break-even attendance does not exist under these inputs.
Does break-even mean the event is profitable?
No. It means the included costs are covered; unmodeled costs and risk remain.
